Reports to the manager of the Supplier Coordination and Delivery team within the Production Services department at Great Minds, a rapidly growing, non-profit organization that develops world-class curricula for grades PK-12.

 

Although Great Minds is based in Washington D.C., this position can be performed remotely. The primary responsibility of this role is to coordinate workflows between supplier platforms and Great Minds Production Services teams. This role’s responsibilities include, but are not limited to, the following:

  • Manage the development and maintenance of workflow and project specifications as they pertain to the suppliers.
  • Ensure that all workflow management system folders are present, utilized, and up to date.
  • Ensure that in-house workflow folders map to the supplier WMS folders.
  • Help train new and existing employees on current and future initiatives, workflows, and technologies as respects the suppliers.
  • Manage the development and maintenance of workflow and project specifications as they pertain to the suppliers.
  • Prioritize project assignments each day to ensure that all projects are delivered on time to meet project deadlines.
  • Collaborate with the team lead and project managers to create and monitor schedules and make revisions as circumstances require.
  • Identify project-specific problems and develop options for potential solutions.
  • Provide required input to team lead and project managers for new project requests to develop accurate project estimates.
  • Help train new and existing employees on current and future initiatives, workflows, and technologies as respects the suppliers.
  • Collaborate with Production Services Training Coordinator on the development and implementation of training plans, mentorship, and training strategies for WMS skillsets.
  • Participate in the recruitment, hiring, and training of new associates.

Additional Responsibilities: 

  • Maintain skills and familiarity with the most current edition of MS Word and Adobe CC Suite.
  • Maintain skills and fluency in the services currently provided by suppliers.
  • Help to source, explore, vet, pilot, and trial future suppliers.
  • Maintain technical knowledge as applicable to print publishing and keep abreast of modern technologies so as to assist in supplier and services selection and implementation of workflow coordination.
  • Communicate in a timely and effective manner to resolve questions and to ensure that errors are properly corrected.
  • Perform other tasks as directed.
  • Complete projects to meet deadlines.
  • Use Sites and other document management sites for appropriate projects.

Requirements

Qualifications:

  • Bachelor's Degree or equivalent
  • 3+ years of related experience in publishing with a focus on preflight, quality control, or project coordination work highly preferred
  • Experience with Adobe Creative Cloud (specifically InCopy and InDesign), project management/tracking platforms and SharePoint or other document management programs

  • In-depth knowledge of printing, binding, standard and non-standard book formats/techniques, and industry standard specifications
  • Strong communication, customer services, and interpersonal skills (written and verbal)
  • Exceptional problem-solving skills related to workflow management systems (i.e., figuring out what’s wrong and recommending how to correct it)
  • Ability to work independently with limited supervision
  • Ability to adapt quickly in the dynamic, ever-evolving environment of publishing
  • Attention to detail
  • 2+ years of experience in educational publishing
  • The ability to manage multiple projects and meet deadlines
