Job Purpose

The Rights & Permissions Specialist supports the research, acquisition, clearance, documentation, and tracking of third-part content used across Great Minds’ digital and print curriculum materials. This role manages day-to-day permissions requests, conducts rights-holder research, secures licenses, and ensures usage terms, restrictions, and metadata are accurately captured and maintained within a rights, digital asset, and content management systems. Working closely with cross-functional partners, the Rights & Permissions Specialist helps ensure assets are compliant, discoverable, and ready for use, contributing to timely product releases and high-quality, knowledge-right instructional materials.


Responsibilities

Permissions & Rights Management

  • Assess incoming permission requests for images, video, text, audio, and data assets used across digital and print educational products.

  • Conduct copyright and rights-holder research for third-party assets.

  • Secure rights from licensers, negotiate terms, and ensure compliance with copyright, licensing agreements, and internal guidelines.

  • Review manuscripts and digital platforms to validate third-party assets for compliance with contractual permissions and digital licensing requirements (hosting, streaming, derivatives, etc.).

Metadata Management & Data Quality

  • Track request statuses, dependencies, and delivery milestones within established workflows.

  • Maintain accurate rights metadata—such as usage terms, restrictions, expirations, source documentation, rights holders, and attribution requirements—using defined metadata schemas.

  • Assist in regular data-quality checks, and maintain accessible documentation for audits and compliance reviews.

  • Participate in testing and rollout of enhancements or new features within digital asset and rights management systems.

Cross-Functional Collaboration

  • Collaborate with Product, Content, Editorial, Legal, Production, and Digital teams to ensure clarity around rights status and licensing limitations.

  • Communicate potential rights risks or restrictions, and suggest alternative assets, when needed.

  • Support the Rights & Permissions team in preparing rights reports or compliance summaries for release cycles.

Job requirements

Requirements

  • Minimum of 3 years’ experience in rights and permissions preferably within educational publishing or a related content-driven industry

  • Strong organizational, project management, and problem-solving skills, with the ability to execute detailed, guideline-driven work to meet established deadlines within an iterative product development process

  • Strong written, verbal, and interpersonal communication skills, with the ability to incorporate different perspectives and feedback in service of organizational goals

  • Alignment with Great Minds’ knowledge-rich philosophy, content development principles, and instructional design approach

  • Demonstrated ability to adapt to changing business needs while maintaining accountability, urgency, and high-quality output in a fast-paced environment

  • Comfort using technology and proficiency in digital collaboration tools (e.g. Smartsheet, Microsoft 365, Google Workspace)

Remote, less than 10% travel

The expected base salary range for this position is $74,000 - $83,000 however the offered salary may be higher or lower than the above range dependent on numerous factors including, but not limited to location, work experience, skills and internal equity considerations. The base salary is not inclusive of benefits or other incentives.
