Position Summary 

The PhD Science Program Assistant provides assistance to the Director of Science and the entire PhD Science leadership team at Great Minds. General duties include assistance with scheduling, communications, research, writing proposals, and project management.

Working under the direction of the Director of Science, the Program Assistant’s specific responsibilities include:

Responsibilities

Program Support

  • Provide calendar, travel, and administrative support to the Director of Science and the leadership team.
  • Act as a liaison between the PhD Science team and other departments.
  • Assist Program Managers and Associate Directors with communications with consultants and other contracted staff about programmatic needs, logistics, and initiatives.
  • Plan national team retreats, team meetings, and conferences around the country.
  • Manage communications with the PhD Science team, including an internal newsletter, meeting requests, and department updates.
  • Manage invoice submission for contract employees ensuring invoices are submitted and paid monthly.
  • Manage expense report processes for the Director of Science.
  • Create and edit presentations, documents, and reports on behalf of the Director of Science.
  • Assist team with ordering materials to assist with investigations and other work.

Professional Development and Implementation Success

  • Provide onsite support for Professional Development sessions in Louisiana and the surrounding area.
  • Create and monitor social media groups for implementers, ensuring questions are answered in a timely manner.
  • Develop and post social media posts at least weekly to communicate timely information to implementers.

Project Management

  • Support and/or contribute to the development of new curricular products, at times serving as the project manager for small projects.
  • Support the Sales and Marketing teams with research and writing needs for website copy or other PhD Science collateral.
  • Assist with ongoing research projects, both long-term and in rapid response research to individual requests.
  • Support and/or contribute to the project management team in resource allocation, particularly on the PDIS team.

Feedback System Management

  • Set up a system to record and track feedback from team and customers.
  • Ensure feedback system is up to date and can filter feedback into relevant categories.
  • Summarize feedback by category and share with relevant teams to include in curriculum modification.

Proposal Writing

  • Write proposals to support the adoption of the PhD Science curriculum across the nation.
  • Liaise with the Sales team to develop a general proposal strategy.
  • Work in collaboration with the PhD Science curriculum developers to write new content for proposals as needed.
  • Maintain a database of proposal responses and common FAQs.
  • Ensure proposal responses match the Great Minds Style Guide, at times completing copy-editing and formatting tasks.
  • Support the Proposal Coordinator with any duties as assigned.

Job requirements

  • Possess excellent writing skills to be applied to both original work and copy-editing tasks.
  • Be a quick study and intellectually curious, paying high attention to details.
  • A passion for K-12 education and desire to be surrounded by other mission-driven individuals.
  • Have an entrepreneurial spirit and desire to work in a rapidly growing company.
  • Willingness to learn and study the PhD Science curriculum as well as company-specific procedures.
  • Ability to thrive in deadline-driven environment.
  • Be a self-starter who can work independently or collaboratively with a remote team.
  • Organized and detail-oriented with excellent follow-up skills.
  • Self-motivated with excellent problem-solving and analytical skills.
  • Personable with ability to maintain sense of humor under pressure.
  • Bachelor’s degree or equivalent experience.
  • Strong working knowledge of Microsoft Office Suite.
